Choosing who manages your cabin is one of the most important decisions you’ll make as a Smoky Mountain rental owner — it affects your income, your guests, and how much of your own time you get back. This is an honest guide to what to ask and what to watch for, whether you’re hiring your first manager or thinking about switching.
There are two common setups: your listing can live on your account with the manager as a co-host, or on the manager’s professional account. Each has trade-offs — managing under the company’s accounts can mean more consistent, hands-on operations and 24/7 control across every channel, while an owner-held account keeps the reviews directly in your name. Neither is automatically right or wrong. What matters is that your manager is upfront about which setup they use and explains clearly what happens, and what transfers, if you ever decide to part ways.
Ask whether pricing is adjusted daily using market data, or set once and left alone. In a market as seasonal and competitive as the Smokies, set-and-forget pricing leaves real money on the table.
A low management percentage can hide markups elsewhere — on cleaning, maintenance, “marketing,” or setup. Ask for the full picture: management fee, plus anything else you’ll be charged, in writing.
Some managers charge hundreds to onboard your property. Ask up front.
Will you get transparent monthly statements? Can you actually reach a person? Boutique managers tend to be far more accessible than large portfolio operators where you’re one of hundreds.
24/7 guest support protects your reviews. Ask who answers at 2 a.m., and how quickly.
Ask how repairs are approved, whether there’s a markup on vendor work, and how they handle guest-caused damage and insurance claims.
How long are you committed? What’s the notice period to leave, and how does the handoff work so your bookings and guests aren’t disrupted?
A manager with boots on the ground in the Smokies can respond in person — for a lockout, a burst pipe, or a last-minute turnover — in a way a remote company simply can’t.
Ask for references. A confident manager will connect you with owners who’ve been with them a while.
