When Ryan and I first started in short-term rentals, we did everything ourselves. We answered every guest message. We coordinated every cleaner. We stayed up late adjusting pricing. We scheduled maintenance. We solved Wi-Fi issues. We tracked supplies. We celebrated every five-star review and stressed over every unexpected problem.
There’s something incredibly rewarding about managing your own vacation rental. You learn your property inside and out, and you have complete control over every decision.
But over the years, we’ve also seen something happen with a lot of owners. Not because they’re doing anything wrong—but because life changes. Managing your Airbnb starts taking more time than you expected. The notifications never really stop. Your weekends aren’t yours anymore. And suddenly your “passive income” doesn’t feel very passive.

You’re out to dinner… buzz. You’re watching your kid’s soccer game… buzz. It’s 10:45 at night… buzz.
Most messages are simple. “How do we turn on the fireplace?” “Can we check in an hour early?” “Where are the extra towels?” But every notification pulls your attention away from whatever you’re doing. One message isn’t a big deal. Hundreds every month can be.
One of the biggest reasons people buy vacation rentals is for additional income and flexibility. Ironically, many owners end up feeling less flexible than before.
You start planning weekends around turnovers. You can’t completely disconnect on vacation. You hesitate before making dinner plans because a guest might need something. Owning a rental shouldn’t mean always feeling on call.
Pricing today isn’t what it was even five years ago. The market changes constantly. One weekend demand is through the roof. The next weekend bookings are unexpectedly slow.
You start wondering: “Should I lower rates? Should I wait another week? What are other cabins charging?” The truth is, pricing has become a full-time job by itself. Owners who review rates once a month are often competing against systems that adjust pricing every single day.
Every property needs maintenance. The challenge isn’t fixing things—it’s remembering everything that needs attention. A loose handrail. A slow-draining sink. A hot tub cover that’s getting worn. Landscape cleanup. Smoke detector batteries.
Individually, they’re small. Together, they become a long list that’s easy to put off. Unfortunately, guests notice the little things.
One plumber doesn’t answer. The electrician is booked for two weeks. Your cleaner is sick. The hot tub company can’t make it until next Tuesday. Now you’re spending your afternoon trying to coordinate everyone. Having trusted vendors isn’t just convenient—it saves an incredible amount of stress.
Guests deserve quick responses. That’s part of great hospitality. But if you find yourself responding to messages every evening after work or constantly checking your phone during family time, it’s worth asking whether that’s still the best use of your time. Most owners don’t realize how many guest conversations happen after normal business hours.
You know your listing could be better. Maybe you want new professional photos, better descriptions, updated furniture, new amenities, better pricing, or a website for direct bookings. But months go by because you’re busy just keeping up with the day-to-day. Working in your business often leaves no time to work on it.
…but you’re already overwhelmed managing one. This is probably the biggest sign we see. Owners want to grow. They’ve caught the STR bug. They’ve found another property they’d love to buy. But they hesitate because they know doubling the guest messages, turnovers, vendors, and maintenance issues sounds exhausting. Sometimes hiring a manager isn’t about today’s property. It’s about making tomorrow’s investment possible.
Even experienced owners feel a little nervous on check-in day. Did the cleaner finish? Did maintenance complete that repair? Did the Wi-Fi reset? Is the hot tub heating? Some of that never goes away. But if every arrival fills you with anxiety instead of excitement, it may be a sign that too much responsibility is sitting on your shoulders.
This is the biggest one. People often get into vacation rentals because they want more freedom, more flexibility, and another income stream. If your property is creating more stress than freedom, it’s okay to rethink how you’re managing it. That doesn’t mean you’ve failed. It simply means your business has grown—and businesses often require different systems at different stages.
Not at all. Some owners genuinely love self-managing. They’re organized. They enjoy hospitality. They like being involved. And they’re fantastic at it. The goal isn’t to convince every owner to hire a manager. The goal is to help owners recognize when their time has become more valuable than doing every task themselves.
